Part-Time Bookkeeper

We are seeking a remarkable, resourceful, friendly person with a knack for numbers to fill our bookkeeping position. The bookkeeper position creates financial transactions and creates financial reports from that information. The bookkeeper will use Quickbooks to enter financial transactions from data from the Portland Pedal Power website, receipts and invoices. The bookkeeper also reconciles accounts to ensure their accuracy.

We work with businesses across Portland to deliver and cater the tastiest food made at local Portland restaurants and food carts. We pick up and deliver by bicycle and, impressively, it usually takes our riders less time to get food from door to door than any car delivery service. In short, our unique model combines sustainable, bicycle-based delivery with unmatched customer and food service.

In preparation for the business growth we anticipate, we want to recruit positive people who have the kind of integrity as individuals that we strive to have as a company. 

Availability:

This is a part-time position (approximately 10 hours/week) during normal business hours on weekdays. 

Duties and Responsibilities:

  • Issue invoices to Corporate Account Customers for delivery services using data downloaded from PPP website. Send invoices from Quickbooks for the 1st – 15th and 16th – end of month
  • Issue invoices to other delivery Customers for delivery services at the end of each month
  • Issue invoices to Marketing (Pedal Ad & Promotion) Customers for services.
  • Run and send Monthly Statements from PPP website to all Vendors at month end. Enter Bills to Quickbooks for Vendor Remittance and any Vendor Credits (for delivery or advertising fee)
  • Enter all Vendor (food vendors & other suppliers) invoices to Quickbooks that are received by mail or via email
  • Receive and enter check payments after each bank run. Enter all checks to Undeposited Funds and then enter together as one deposit. As payments are received, monitor open Accounts Receivables and resend to Customers to ensure receivables are collected in a timely manner.
  • Conduct a monthly reconciliation of each account. (petty cash, American Express, bank accounts)
  • Respond to inquiries from both customers and vendors. Work directly with customers and vendors to resolve any questions. Escalate to PPP CEO, COO and Customer Service Manager as needed or for clarification.
  • Create financial reports from Quickbooks that are automatically sent to the team for Customer and Vendor sales.
  • Enter and set up new Corporate Account Customers and Vendors in Quickbooks
  • Process payroll
  • Enter monthly journal entries for tips
  • Process payroll tax payments and forms to comply with local, state, and federal government reporting requirements
  • Maintain an orderly accounting filing system
  • Create and maintain all Standard Operating Procedures in support of bookkeeping responsibilities
  • Maintain PPP Budget and run reports to monitor and compare to actuals

 

Required Qualifications – We want you to bring these skills:

  • Minimum one year of experience with receipt reconciliation and documentation
  • Excellent record keeping skills
  • Skilled in use of MS Office (Word/Excel) and Google Docs
  • Detail oriented
  • Ability to work under pressure & prioritize key job functions
  • Easy going, fun to work with, high energy & a positive attitude
  • Office administrative experience (filing, organizational skills)
  • Strong background in customer service with proven track record of creating exceptional experiences
  • Able to apply initiative & make judgements, adaptable to changing situations.
  • Ability to ride a bicycle
  • Background check is required

Preferred Experience:

  • Strong bicycle rider (cargo bike experience) 
  • Knowledge of Customer Relationship Management systems

Brand Ambassador/Rider

Availability:

This is a part-time position (approximately 15-20 hours/week) primarily between 6:30-2:00pm weekdays. Employee must be available on regular pre-determined days and times, weekdays. Our morning shift is between 6:30-9:30am and our lunch shift is between 10:30am-2:00pm.

 

Duties – As a PPP Brand Ambassador/Rider, you will:

  • Pick up and deliver prepared meals from restaurants to corporate offices via a Portland Pedal Power fleet bicycle
  • Professionally cater meals at corporate offices
  • Engage in marketing activities consistent with our values and brand. This includes (but is not limited to): promotional item distribution, impromptu interactions with the public concerning PPP services, representing company at events, passing potential customer contact information to PPP sales team
  • Handle delivery related receipt and money transactions.
  • Protect organization’s value by keeping information confidential.
  • Update job knowledge by participating in educational opportunities provided by the company and externally; reading relevant material; maintaining personal and company networks

 

Required Qualifications – We want you to bring these skills:

  • Food service and/or catering experience
  • Strong bicycle rider with experience operating in urban setting, focused on safety
  • Friendly and outgoing personality.
  • Computer and communication device usage and proficiency
  • Lift up to 60 pounds
  • Background check and drug test required

Preferred Experience:

  • Catering background.
  • OLCC permit
  • Strong bicycle rider (cargo bike experience) with experience operating in an urban setting.

Technology Systems Administrator, Brand Ambassador Rider

We are currently seeking an awesome, versatile, and friendly individual to fill our Technology Systems Administrator position. As the Tech Systems Administrator, you will be managing the website, the app, business analytics, internal networks and updates to our vendor/customer portal. We use 3rd party software to maintain our online services such as WordPress, and App Sheet so, back-end web development skills are not necessary. All facets of this position can be learned on the job but having a background in design or front-end web development is preferred.

This position also offers an opportunity to be a Brand Ambassador/Rider for additional hours (and additional exercise). Duties include delivery by cargo bike and catering events.
